The HiBar handover document checklist

A useful handover connects the installed system to its locations and acceptance records. Build the folder during the job so missing information can be resolved before the team disperses.

Record the installed scope

Retain the accepted specification, assembly references, product identification and final drawings. Mark changes and exclusions clearly. Early tender documents should not be mistaken for the final installation record.

Close inspection findings

Collect inspection reports, corrections and relevant photographs by location. Identify outstanding items and responsible people. Ask the project team to record acceptance through the agreed process rather than relying only on completion invoices.

Prepare for future work

Include current care guidance and the route for obtaining a repair assessment. Explain how future trades should report disturbance. The owner should be able to locate the relevant assembly and contact without reconstructing the original project.
